At Vortex Automations, your data stays on infrastructure we run ourselves. Our systems run on our own self-hosted server, the AI behind our assistant runs locally instead of on third-party AI services, and we never sell or share your data.
Encryption in Transit
Everything sent between your browser and our systems travels over HTTPS (TLS 1.2 or 1.3).
Access Control
Only public web traffic can reach our server. Internal services, like our AI model, speech services and booking system, are not reachable from the internet, and the admin area requires a login.
Data Retention Policy
We keep only what we need to run your call: your name, email, the call time and your notes. Your chats, voice notes and recordings are deleted automatically within a few minutes after you leave the website. While you're here, the assistant remembers the last few messages, in memory only.
Compliance
We don’t claim certifications we don’t hold. If you have specific compliance requirements or a vendor security questionnaire, email us and we’ll answer it directly.

Client Data Ownership
You own your data. We never sell or share it, never use it to train public models, and delete it on request.
Security Policy Details
When you use our website chat or book a call, we collect what you give us: your name, email address, the call time and what you’d like to discuss. If you use a voice mode, your voice is turned into text on our own server and the audio isn't kept; your chats, voice notes and recordings are deleted automatically within a few minutes after you leave the website. In automation projects, we only handle the data a workflow needs to do its job.
Data is used only to run the automation it belongs to, for example triaging an email or reading a document, and the result goes to the tool you chose. We don’t use it for anything else.
We never sell, share or syndicate your data. Our AI runs on our own self-hosted server, so we don’t send your data to third-party AI providers. When an automation connects to your own tools, such as your CRM or Slack, data goes only to those tools, as you set them up.
Email us at support@vortexautomations.agency to have your data deleted, including booking details and any recordings. Chats, voice notes and recordings are also deleted automatically within a few minutes after you leave the website, and technical error logs after 7 days.
If we discover a security issue that affects your data, we investigate it and let you know promptly what happened and what we’re doing about it.
